Customer Service Policy

CUSTOMER SERVICE AGREEMENT
Detailing Policy & Service Authorization
Clear expectations before we arrive, while we work, and after your vehicle is complete.
This policy forms part of every appointment. Checking the required acceptance box in Stripe confirms receipt and acceptance of the policy version provided. Payment alone is not treated as a signature.
1. Booking Deposit, Rescheduling & Cancellation
Booking deposit. A deposit equal to 10% of the scheduled service price is required to reserve an appointment. The deposit is applied to the final invoice. An appointment is not confirmed until the deposit is received.

48 hours or more
The deposit may be refunded or transferred to a new appointment.
24 to 48 hours
The deposit is nonrefundable but may be transferred one time to an appointment completed within 30 days.
Less than 24 hours
A cancellation fee equal to 50% of the scheduled service price is due. The 10% deposit is credited toward that amount, leaving up to 40% due.
No-show or no access
The same 50% fee applies if the customer, vehicle, keys, required utilities, or safe work area are unavailable at the scheduled time.
Weather or Medicar change
No fee applies when Medicar determines that weather, safety, equipment failure, or another business-side issue requires rescheduling. The deposit may be transferred or refunded.
Card authorization. When the customer elects to keep a payment method on file, the customer authorizes Medicar to charge only the applicable cancellation or no-show amount described above, less the deposit already paid. Any such charge will be documented on a receipt.
Late customer access. Delays caused by unavailable keys, blocked vehicles, inaccessible property, or a customer who cannot be reached may shorten the available service time or require rescheduling. A delay of 20 minutes or more may be treated as a late cancellation when the appointment can no longer be completed safely or on schedule.
2. Customer Preparation & Work-Site Requirements
Water and electricity. The customer must provide permission to use a working exterior water spigot and a grounded standard electrical outlet, both within 100 feet of the vehicle.
Safe work area. The vehicle must be parked in a legal, reasonably level area with enough room to open doors and safely route hoses and cords. The customer is responsible for property-owner, apartment, HOA, or building permission.
Keys and access. The customer must provide access to the vehicle at the appointment time and disclose alarms, unusual starting procedures, immobilizers, or access restrictions.
Belongings. Personal belongings must be removed from the passenger compartment, seat pockets, floor, trunk, and cargo areas before service. Items may remain in the center console and glovebox, but Medicar will not open, empty, organize, or clean those compartments unless they are empty.
$20 excessive-belongings/junk handling fee. If excessive loose items interfere with service, a $20 fee may be added for reasonable bagging or relocation. Nothing will be discarded without the customer’s permission. Medicar may decline to handle weapons, sharps, illegal items, or unsafe materials.
Valuables. Cash, jewelry, documents, electronics, medications, firearms, and sentimental items should be removed. Items left behind are not inventoried; Medicar will handle visible property with reasonable care.
Child seats. Customers should remove child seats before service. For safety and liability reasons, Medicar does not reinstall or certify child-seat installation unless separately agreed in writing.
3. Quotes, Vehicle Condition & Additional Services
Condition-based pricing. Quotes are based on the vehicle information, photos, and condition described before the appointment. Pet hair, heavy sand, excessive soil, stains, odors, bodily fluids, mold, pests, oversized vehicles, or other conditions requiring added labor may require an approved price adjustment or specialty service.
Approval before added work. Medicar will communicate material price changes or recommended add-ons before performing them. Approval may be documented by signature, text message, email, or digital job approval. If declined, Medicar will complete only the booked scope where practical, and the final result may remain limited by the declined service.
Hazard disclosure. Human or animal waste, vomit, blood, needles, mold, pests, chemical spills, or other biological or hazardous conditions must be disclosed before arrival. Specialized cleanup requires separate approval and pricing. Undisclosed hazards may cause the service to stop or be rescheduled.
4. Service Scope & Material Limitations
Detailing is cleaning and protection—not repair or restoration. Unless specifically listed on the invoice, services do not include mechanical repair, upholstery repair, dyeing, headliner repair, scratch removal, paint correction, odor remediation, or other restorative work.
Medicar does not guarantee complete removal of every stain, odor, pet hair, water spot, scratch, oxidation mark, or embedded contaminant. Aggressive treatment may be avoided when it could damage the material.
Aged or fragile materials—including worn leather, loose headliners, peeling trim, failing tint or PPF, deteriorated plastics, damaged switches, aftermarket electronics, or compromised coatings—may be cleaned lightly, excluded, or stopped if continued work creates an unreasonable risk.
The customer must disclose known leaks, electrical faults, loose parts, repainted panels, prior repairs, sensitive aftermarket components, and other unusual conditions before service begins.
5. Inspection, Documentation & Vehicle Operation
Pre-service inspection. Medicar may document visible vehicle condition, pre-existing damage, mileage, and service areas using timestamped photographs or video. The customer should identify concerns before work begins. Inspection records may be stored with the job for service documentation, training, quality control, and dispute resolution.
Marketing is separate. Customer or vehicle images will not be used for advertising or social media based solely on acceptance of this policy. Marketing use requires separate permission.
Permission to operate. The customer authorizes Medicar personnel to unlock, start, move, and reposition the vehicle on the service property as reasonably necessary. The vehicle will not be driven on public roads unless separately authorized.
6. Payment, Completion & Customer Concerns
The remaining balance, including taxes and customer-approved add-ons, is due immediately upon completion unless different written payment terms were approved in advance.
Service-duration and arrival estimates are estimates. Vehicle condition, weather, access, traffic, and safety considerations may affect timing. Medicar will communicate material delays when reasonably possible.
Customers are encouraged to inspect the vehicle at completion. Any concern should be reported within 48 hours, with photographs when practical. Medicar must be given a reasonable opportunity to inspect and address the concern before outside correction work is authorized.
Medicar is not responsible for pre-existing damage, age-related deterioration, manufacturer defects, or undisclosed conditions. This policy does not limit any customer right or business responsibility that cannot legally be limited.
7. Refusal or Interruption of Service
Medicar may refuse, pause, or stop work when site conditions are unsafe; utilities are unavailable; hazards were not disclosed; the requested method could damage the vehicle; the customer or another person interferes with safe work; or conduct toward staff is threatening, abusive, discriminatory, or unlawful. Charges will reflect work completed and any applicable cancellation terms.
8. Changes to This Policy
The version delivered and accepted at booking governs that appointment. Material changes will not be applied retroactively to an already-confirmed appointment without the customer’s agreement.
